Event Onsite Support Ambassador

The Event Onsite Support Ambassador plays a crucial role in enhancing the overall experience of GTA Black Women in Tech offline events by providing hands-on assistance. This individual will be responsible for event setup and breakdown, managing registration desks, addressing onsite challenges, and collaborating with the Event Moderation Ambassador for a seamless event flow.
- Assist with Event Setup and Breakdown:
- Collaborate with the event team to ensure timely and efficient setup of event spaces, including signage, banners, and equipment.
- Contribute to the breakdown process post-event, ensuring that all materials are properly stored or returned.
- Manage Registration Desks:
- Oversee the registration desk, welcoming attendees, providing information about the event schedule, and assisting with any registration-related inquiries.
- Ensure the distribution of event materials, badges, and any relevant documentation.
- Address OnSite Challenges and Inquiries:
- Act as a point of contact for attendees, addressing onsite challenges, and inquiries, and assisting as needed.
- Collaborate with the onsite team to promptly resolve any issues and ensure a positive attendee experience.
- Collaborate with the Event Moderation Ambassador:
- Work closely with the Event Moderation Ambassador to ensure a smooth event flow and seamless transition between various segments of the event.
- Communicate effectively to address any onsite logistical needs or adjustments.
- Event Management Experience: Previous experience in event setup, breakdown, and onsite coordination.
- Customer Service Skills: Excellent interpersonal skills and a customer-centric approach to ensure attendees feel welcomed and supported.
- Problem Solving Ability: Capacity to address onsite challenges quickly and efficiently, making decisions to enhance the overall event experience.
- Collaboration: Ability to collaborate with the Event Moderation Ambassador and other team members to ensure a cohesive and well-coordinated event.
- Flexibility: Adaptability to handle unexpected situations and changes during events.
Commitment & requirements:
This volunteer position has a moderate time commitment, involving regional event attendance, monthly meetings, and collaboration with local ambassadors.
- Engage in one event every quarter
- For the UK & Ireland, support the organisation of The Voices In The Shadow Festival
- Attend, as a representative of GTA Black Women, 1 tech event every quarter to make new relevant connections to support our vision & mission. (GTA Head office can provide a list of key events to attend)
- 1 hour a month to meet your regional ambassador and team of ambassadors
- Ad-hoc support your team of ambassadors as necessary
- Opportunity to lead and contribute to the growth of GTA Black Women in Tech
